Booking Terms & Conditions

Thank you for joining our Journeys of Discovery and Adventure. Tour participation is subject to the booking terms and conditions outlined in the reservation form. Before you book a tour with Undiscovered Frontiers, please read the terms and conditions below carefully and contact us with any questions.

Tour Reservation & Booking Confirmation Process

Please read and complete our tour reservation form on Page 1 and  2, as well as read and sign our Release and Waiver of liability, assumption of risks, covenant not to Sue, and Binding Arbitration Agreement form, which is found on Page 3 and 4. You may either complete these forms online at www.undiscoveredfrontiers.com, print, sign, scan, and email the forms to info@undiscoveredfrontiers.com, or print, sign, and mail the forms to our mailing address.

Your booking on the group tour or private journey is confirmed only when we receive the completed and signed Tour Reservation Form, Responsibility, Assumption of Risk, Release and Waiver of Liability, Covenant Not to Sue, Binding Arbitration Agreement Forms, an initial deposit per person as specified in the tour brochure, and once we have confirmed that booking space is available.

As soon as we confirm your booking on the tour, we will send you a confirmation email with a balance due invoice, which will be due 90 days prior to the start of the trip, and "Get Ready for Your Journey" information, which will help you plan and prepare for your upcoming journey by checking on passport validity, visa requirements, flights, and other important details of your upcoming journey. Visa information may be included or provided separately based on the destination’s visa entry requirements. A final document packet containing final tour details and information such as the final tour itinerary, destination information, emergency numbers, local travel agency contact information, transfer information, and airport meet & greet service information is generally sent out 30 days before departure to the mailing address specified on the tour reservation form.

Initial Deposit & Final Payment for the Tour

The most efficient way to secure your trip is by contacting us at +1 (586) 447-2643 or via email at info@undiscoveredfrontiers.com. Please include the completed tour reservation form in your email and request an electronic payment link to submit the initial deposit using major credit cards like Visa, MasterCard, or AMEX. Alternatively, you may mail a physical check, enclosed with the booking form, to our mailing address. We will swiftly assist you in completing the reservation process, ensuring a seamless and convenient booking experience. Additionally, we accept wire transfers or electronic transfers as forms of payment. To process a reservation, we require a deposit of $500.00 per person for group tours or private journeys, unless otherwise mentioned in the travel itinerary for the trip you are booking. The final balance due for the trip is required 90 days prior to departure and must be paid in full. If your balance is not paid in full by the due date, your reservation will be treated as a default cancellation and will be subject to a cancellation charge of all payments and deposits made to date.

If booking through a travel agent, please contact them to verify the final payment method they accept. Undiscovered Frontiers accepts final payment from travel agents solely in the form of a net agency check or wire transfer. Please keep in mind that if you book through your travel agent, then all travel-related correspondence (updates, invoices, and final paperwork) will be directly communicated with your agent.

91 days or more prior to departure Initial Deposit Guarantee: For the peace of mind of our travelers, if you cancel for any reason 91 days prior to the trip, we provide the option to take a fifty percent (50%) refund of your initial deposit and a fifty percent (50%) credit for any future trip with us.

Remark: To secure a booking on a group tour or private journey departing within 90 days or less, full payment is required at the time of booking.

Tour Cost, Inclusions and Exclusions

Prices are per person in United States dollars and are based on double room occupancy. Tour inclusions are detailed in tour itineraries and often include the following: One-on-one virtual tour briefing before the trip, Final documents tour packet Group arrival and departure transfers between airports and hotels at the destination for tour participants, accommodation at hotels as per itinerary, Air-conditioned transportation for sightseeing days, Services of a UF Tour Manager or local English-speaking guides, Entrance fees to all sites mentioned, meals as mentioned in the itinerary, Portage at the hotels, Local taxes for hotels, meals, and tour services overseas. The tour price indicated is a package price for the services delivered and will not include an itemization of component costs.

Typically, the tour cost does not include international airfare to or from the United States of America or segment airfare between countries, associated taxes, fuel surcharges, or baggage fees, airport arrival or departure fees, or country taxes; customs or immigration fees; passport, visa, or other travel document fees; customary end-of-group-tour gratuities to tour managers; expenses due to excess baggage charges; fees for flight delays or schedule changes; personnel expenses such as laundry, alcoholic beverages, mineral waters, photo/video camera fees, telephone, laundry bills, etc. Any expense for a ’la carte meal item not included in preplanned menus, travel Insurance (highly recommended), departure and arrival transfers in the USA from the home city to the airport, baggage handling at airports in the USA and overseas, increases in tariffs or the dollar exchange rate after publication, trip surcharge to operate below the required minimum number of participants.

Undiscovered Frontiers Member Club

To demonstrate our gratitude and to thank our current and future travelers, we created the Undiscovered Frontiers Member Club, through which repeat travelers will receive discounts that will be applied to their next journey of discovery and adventure as follows:

Pioneer Member:

2 (two) to 3 (three) tours, a 2% discount will be applied to the traveler and immediate family member for any Group Tour or private journey booked with us.

Explorer Member:

4 (four) to 5 (five) tours, a 3% discount will be applied to the traveler and immediate family member for any Group Tour or private journey booked with us.

Globetrotter Member:

6 (six) and above tours, a 5% discount will be applied to the traveler and immediate family member for any Group Tour or private journey booked with us.

Remark: Travel discounts offered to the members do not apply to single supplement fees or international/domestic airfare.

Cancellations & Notice of Changes by Traveler

Changes or cancellations must be sent to Undiscovered Frontiers in writing via email to info@undiscoveredfrontiers.com or by calling +1 (586)-447-2643. The date on which we receive your written cancellation will determine the cancellation cost, which is detailed below. The date of departure is defined as the date of the first flight from the United States of America or the day of the trip's departure as specified on our Trip Schedule, whichever occurs first. If you must cancel your tour reservation before departure, please be aware that Undiscovered Frontiers will assess cancellation charges under its cancellation schedule to cover non-refundable, non-recoverable tour expenses, such as fees paid to hotels, airlines, railways, local Destination Management Companies ("DMCs"), government bodies, and other ground suppliers on your behalf, as well as other expenses. Unless otherwise specified in your itinerary for certain trips, cancellation fees are calculated as follows:

From the time of booking:

91 days or more prior to departure Initial Deposit Guarantee: (50% refund of the initial per person deposit paid, 50% credit of the initial per person deposit paid for any future trip)

90–60 days prior to departure: non-refundable initial deposit amount per person; non-refundable 25% of total land cost balance paid per person.

59–31 days prior to departure: non-refundable initial deposit amount per person; non-refundable 50% of total land cost balance paid per person.

30-0 days prior to departure: non-refundable initial deposit amount per person; non-refundable 100% of total land cost balance paid per person.

All tour components, including single supplements, pre-and/or post-tours, hotel nights, and any other confirmed arrangements made on a traveler's behalf, are subject to the cancellation policy. Your decision to withdraw from the tour due to State Department travel warnings, a fear of travel, a lack of a valid passport, an inability to obtain a valid visa, or for similar reasons will be considered a cancellation. Undiscovered Frontiers is not liable for any expenses made by travelers in preparation for the tour (e.g., non-refundable plane tickets, seat reservations, passport or visa fees, travel insurance, or gear or equipment), even in the event of a tour cancellation for any reason. There will be no reimbursements for any unused portion of a tour once it begins, including if you leave a tour for any reason, miss the tour's departure date, or are removed from a tour. The same cancellation policy applies, including those related to personal, family, or medical emergencies, your decision not to travel on a Tour as a result of governmental or travel warnings or advisories, including but not limited to United States State Department or World Health Organization warnings; or any other circumstances beyond our control. As a result, we advise you to obtain comprehensive travel insurance that includes cancellation for any reason before embarking on your Tour. Depending on the circumstances surrounding the cancellation, you may be able to recoup these cancellation expenses (minus any relevant excess) under the terms of your travel insurance policy.

Remark: If you wish to transfer your initial deposit paid to another tour 91 days prior to the trip, we will evaluate and treat the matter differently depending on the trip on a case-by-case basis, and in some cases, there will be no penalties.

Tour Cancellations & Notice Of Changes Made by us

If your group tour itinerary has fewer than the minimum number of participants required, you may be offered a surcharge or a tour modification to ensure that the tour continues as scheduled with a smaller group. Due to insufficient enrollment, Undiscovered Frontiers retains the right to cancel any group tour or customized private journey. In this situation, visitors will be notified no later than 60 days ahead of departure and will be eligible for a full refund of the tour cost. Undiscovered Frontiers retains the right to cancel, modify, or postpone a trip without prior notice at any time before departure or after the tour begins for the safety and/or comfort of travelers, if the planned itinerary is not possible to operate, or in the event of Force Majeure. Undiscovered Frontiers is not responsible or liable for deposits, payments, incidental expenses, policies, or penalties associated with additional services not included in the tour price package (such as airline tickets) or other items (such as additional tours or travel services booked through another travel supplier) handled by travelers and not through Undiscovered Frontiers. If a Tour is canceled for reasons within our control and not due to Force Majeure, we will provide you with one of the following options:

a)  Travel credit equal to the land cost charged per person for the group tour or customized private journey.

b) A full refund equal to the land cost charged per person for the group tour or customized private journey.

If a tour is canceled due to Force Majeure (definition below), we will offer you one of the following options:

a) Travel credit equal to the land cost charged per person for the group tour or customized journey minus any unrecoverable costs and fees imposed by local DMCs on the ground. Unrecoverable costs and fees include but are not limited to the deposit that we have received per person and forwarded to local DMCs, cancellation penalties by local DMCs, and our Tour Planning Fee, which covers our time and costs in planning, booking, and organizing your participation in our group tours or private journeys.

b)  A refund equal to the land cost charged per person for the group tour or customized journey minus any unrecoverable costs and fees imposed by local DMCs on the ground. Unrecoverable costs and fees include but are not limited to the deposit that we have received per person and forwarded to local DMCs, cancellation penalties by local DMCs, and our Tour Planning Fee, which covers our time and costs in planning, booking, and organizing your participation in our group tours or private journeys.

Tour Planning Fee:

• If 60 or more days prior to departure, it is $250 per person for group tours or customized private journeys.

• If 59 or less days prior to departure, it is $500 per person for group tours or customized private journeys.

Force Majeure

Undiscovered Frontiers shall not be considered in breach of this agreement or otherwise liable to you for any delay in performance or nonperformance of any of its obligations caused by Force Majeure. "Force Majeure" includes, without limitation: acts of God; forces of nature; flood; tempest; forceful wind; fire or accident; terrorist activities; insurrection; explosion war or threat of war, declared or undeclared; sabotage; civil disturbance; labor strikes; requisition; quarantine; sickness; pandemic; epidemic; diseases and viruses that are known, unknown, or novel, such as COVID; foodborne, airborne, or waterborne; diseases and viruses; Government interventions of any kind affecting domestic and/or international travel; government restrictions or cautions; diplomatic or health organization (such as the World Health Organization) warnings; border closures; weather conditions; and unforeseen circumstances. If Force Majeure prevents, significantly hinders, makes it difficult, makes it commercially impractical, or makes it impossible for us or our suppliers to provide the services, including but not limited to your tour, we and our suppliers shall be entitled to, and may in our complete and sole discretion, vary, delay, postpone, reschedule, alter, or cancel any itinerary or arrangement associated with the tour, including the tour itself.

Travel Insurance

Undiscovered Frontiers suggests you obtain a Trip Protection Plan or travel insurance that is sufficient to provide coverage for your travel investment, personal possessions, and health during your travel program. This can help you avoid considerable financial risk and travel with less stress. Please keep in mind that Undiscovered Frontiers will not be held liable for the types of losses indicated above. If you opt out of travel insurance and incur a loss, you will be responsible for all associated expenses. We retain the right to request an official letter from the traveler declining insurance coverage and accepting full responsibility for their participation in this tour.

In today’s changing travel environment, it’s important to protect your travel investment so you can relax and enjoy your trip. Unforeseen events such as flight delays, baggage loss or even a sudden sickness or injury could impact your travel plans. Passport and Visas

For participation in any tour, passports must be valid for six months after the Tour's completion date, with appropriate pages for entry and exit and visa stamps, as well as proof of travel insurance. Visas, immunizations, permits, and other paperwork may be required, and passengers are responsible for obtaining and maintaining all relevant documents. While Undiscovered Frontiers provides assistance and information on visas, vaccinations, climate, clothes, and luggage in good faith and as a favor to you, we cannot be held liable for any errors or omissions in the information provided. We cannot guarantee that foreign governments will approve visas or permits, and you are solely responsible for any adverse outcomes resulting from inaccurate, incorrectly issued, or defective documentation. You are responsible for ensuring that you have the relevant documentation before your trip. We disclaim all liability and associated charges if you are denied entry onto any form of transportation or into any country due to a lack of any required documents.

Single Supplements

You must pay the single supplement fee or single occupancy cost if you prefer single occupancy for the entire duration of the tour. Please note that single occupancy is not always available. If, for any reason, we are unable to accommodate you in a single room, we will try to pair you with another traveler (of the same gender) and refund the single supplement for that night. If you are traveling alone and would like to share a room, we will do our best to pair you with someone of the same gender. However, if we are unable to find you a roommate, you will be charged a single supplement fee as indicated in the travel itinerary.

Special Accommodation Arrangements

As mentioned in the tour itinerary, some of our off-the-beaten-path group excursions include stays in yurts, local guest houses, or other non-hotel accommodations. In these instances, travelers may be asked to share sleeping facilities for those nights and use shared bathrooms with other group members. The Tour itinerary mentions the  amenities and accommodations for group tours or customized private journeys.

Traveler’s Responsibility to get ready for the tour

Travelers are responsible for selecting a suitable tour that fits their interests and physical capabilities, as well as for preparing for the tour by studying the schedule and all other tour information provided by us. Travelers agree to adhere to local laws and customs and to treat their travel companions with respect, as well as to follow the tour manager's or guide's directions, including those regarding personal hygiene guidelines to minimize the risk of travelers' disease, and to adhere to the policy prohibiting smoking in vehicles, planes, train carriages, and other specified non-smoking areas. Undiscovered Frontiers suggests that visitors check the United States Department of State's and the United States Centers for Disease Control's (CDC) published and updated country-specific travel information:

Health Clause during the Trip & Tour Fitness Level

Clients exhibiting symptoms of contagious diseases or illnesses may be quarantined, isolated, denied access, or subject to other measures by suppliers and government agencies in hotels and/or on limited modes of transportation such as ships, etc. There will be no refunds for unused travel, damages, losses, or other claims if you are quarantined. We are not responsible for any fees, damages, or losses you incur as a result of being quarantined or otherwise prevented from continuing or concluding your tour, or from utilizing portions thereof.

Our tours range from leisurely to somewhat challenging in terms of fitness level. It is entirely up to you to decide on an itinerary and a destination that are appropriate for your current level of fitness. If you are unable to participate in an activity because of physical constraints, you will not be reimbursed. If you're not sure if you'll be able to participate in the tour's activities, we strongly recommend that you consult your doctor. It is your responsibility to ensure that you have received all necessary vaccinations before embarking on your tour. Undiscovered Frontiers retains the right to refuse reservations or exclude participants who are deemed unfit for a program or certain activities.

Special Requests & Dietary Restrictions

Any special requests must be made in writing at the time of booking. While we will make every effort to pass on reasonable requests to the appropriate provider on the ground, we cannot guarantee that all requests will be fulfilled. Our failure to comply with any specific request will not constitute a violation of the terms and conditions. All special requests, unless and until specifically confirmed, are subject to availability. Our company does not accept conditional bookings, i.e., bookings that are contingent on the fulfillment of a specific request. All such reservations shall be classified as "regular" reservations, subject to the provisions above regarding specific requests. Meals included are listed in the tour itinerary. Any meals that are not included in the itinerary are considered extra. We will make every effort to accommodate your dietary restrictions and/or food allergies. Kindly notify us in advance if you want special arrangements for your meals. Any particular dietary requirements MUST be included on your reservation form.

Updating of Booking Terms & Conditions

Undiscovered Frontiers retains the right to update and/or modify these terms and conditions at any time, and you are responsible for staying updated by checking the Site and the status of your trip. Our most current Booking Terms and Conditions are available on our website at www.undiscoveredfrontiers.com and take effect immediately upon publication. You are deemed to have accepted any revisions to these terms and conditions on the date they are posted to our website, when we send you written notice via email or regular mail, or when you continue to use our services, participate in one of our Tours, or use our website, whichever occurs first.

Complaints During the Tour

During the tour, if you have any complaints or encounter any problems, you must immediately contact Undiscovered Frontier’s tour manager and the service provider. For any issues, first contact our Tour Manager or the tour supplier directly. For any issues that have not been addressed by the tour manager, you must contact the Undiscovered Frontier’s office and your travel consultant to give us any relevant information, including the best phone number or email address to get in touch with you. If you're not satisfied with the outcome of the tour, please let us know in writing within seven days after the conclusion of the tour. Any problems or damages to which you believe you are entitled are waived if you do not follow this complaint procedure. If we or our insurers need to enforce any rights that have been transferred, you agree to work with us and our insurers as much as possible.

International Flights/Delays/Denied Boarding

We do not provide international flight arrangements, once you book your international flight on your own, you must give a flight itinerary in its whole to Undiscovered Frontiers, including departure and arrival flights and times. If you are using mileage credit or are traveling from outside North America, you should plan to organize your air travel, but please contact our office before finalizing your ticketing so that we may assist you in coordinating the correct arrival and departure dates and times. If you arrive at your destination after the start dates mentioned in the travel itinerary, you may incur additional fees to cover the separate transfer from the airport or an extra night at the hotel.

We will not be responsible for any changes, cancellations, or delays in your transportation to or from the United States. Additionally, we disclaim any liability for changes, cancellations, or delays caused by adverse weather conditions, rescheduling by the transport supplier, airline, or airport authority, actions by air traffic controllers, mechanical breakdowns, labor disputes, or any other unforeseen event or circumstance. Similarly, airlines do not compensate passengers for flight delays, except if the Denied Boarding Regulations apply. However, if your delay exceeds 12 hours, your carrier may opt to offer you meals and accommodations (based on availability) that are deemed appropriate for the time of day or night.

Photographic, Audio-graphic and Video-graphic Release

Undiscovered Frontiers and its on-the-ground suppliers may make photographic, audio graphic, and video graphic records during your program including capturing images of your physical likeness for promotional and marketing purposes without compensation to tour participants. Please contact us before the start of your tour if you do not want your photograph to be used for promotional purposes.

Responsibility, Assumption of Risk

By making a reservation with "Undiscovered Frontiers," I understand and agree that "Undiscovered Frontiers" will make purchases or reservations for travel-related services on my behalf from independent service providers ("Supplier" or "Suppliers") who will offer, among other tour services, transportation, lodging/hotels, meals, activities, touring, equipment/gear, guide, or tour manager services. "Undiscovered Frontiers" is not responsible for any delay, inconvenience, accident, financial cost, injury, loss, death, damage, or irregularity of any kind caused by any such person's or entity's careless or willful act, failure to act, or default (financial or otherwise). This includes various entities that may use the "Undiscovered Frontiers" name or logo.

I understand and agree that "Undiscovered Frontiers" tour itineraries are subject to change without notice or refund due to changing field conditions, and that "Undiscovered Frontiers" may, as it deems necessary, substitute any mode of transportation, accommodation, Tour manager, or guide. I understand and agree that any additional charges or costs incurred as a result of changes to my trip or itinerary (e.g., delay, postponement, extension, or adjustment) as a result of weather, equipment, flight schedule changes, illness, government action, or any other cause beyond the control of "Undiscovered Frontiers" are entirely my responsibility.

I am engaging in the Tour with full awareness of the inherent dangers and risks associated with travel and the activities in which I choose to participate willingly. Traveling in remote, dangerous, or politically unstable areas; terrorism, forces of nature; acts of God; physical exertion for which I am unprepared; transportation failures; equipment failures, motor vehicles, aircraft, trains, boats, and all other modes of conveyance; roads, trails, and accommodations that are not maintained or operated to U.S. standards;  Schedule changes, overbooking or downgrading of accommodations, insolvency or financial default by third parties, disfigurement, temporary or permanent disability, including paralysis, death, quarantine, epidemics or pandemics, border closures, government travel restrictions or warnings, actions or inactions of any governmental entity or official, diplomatic or health organization (e.g. WHO) warnings, foodborne, airborne, and communicable illness and diseases.; negligence by the tour operator. I realize that adventure travel's delight and thrill are based in part on these and other inherent hazards. I expressly agree to be personally responsible for my welfare and to completely assume all of the hazards listed above, as well as all additional dangers, known and unknown, freely and deliberately, to the fullest degree permissible by law.

Release and Waiver of Liability & Covenant Not To Sue

I recognize that I have received full disclosure and have been given the chance to have this Release evaluated by legal counsel. Subject to such acknowledgment, and by voluntarily and knowingly signing and delivering this Release, I (including, but not limited to, my heirs, successors, assigns, beneficiaries, agents, and legal representatives) forever release and discharge, hold harmless, and covenant not to sue "Undiscovered Frontiers," its owners, employees, agents, and suppliers on the ground, from and against any liability, claims, causes of action, demands, costs, damages, losses, or suits of an unlawful nature. I also acknowledge that I shall have no right to sue “Undiscovered Frontiers” other than to enforce the arbitration clause, which shall control all legal claims.

Binding Arbitration Agreement

I agree that any dispute arising out of, in connection with, or relating to this agreement, travel services, tour itineraries, catalogs, or any other materials about my tour, or the tour itself, shall be resolved exclusively through binding arbitration. The binding arbitration shall be conducted and held in Oakland County , Michigan, administered by the American Arbitration Association, and shall be governed only by Michigan law. If the arbitration provision is deemed invalid, you agree to bring any legal action in Oakland County, Michigan, or Federal Court in the Eastern District of Michigan. Additionally, you agree that the prevailing party in any dispute shall be entitled to recover its reasonable and necessary attorney fees and costs.
